Public Records Requests
Oregon’s Public Records Law (ORS 192) gives every person the right to inspect or receive copies of most public records. This page explains how to request records from Reedsport School District 105, how we respond, timelines, and any fees that may apply.
How to Request Records
To help us locate records quickly, please include a clear description of the records you seek (subjects, date ranges, departments/schools, and any keywords).
- Email: publicrecords@rsd105.com
- Mail or In‑Person: Public Records Officer, Reedsport School District 105, 100 Ranch Road, Reedsport, OR 97467
- Phone (for help scoping a request): (541) 271‑3656
Tip: You do not need to cite the law or use a special form—plain‑language requests are fine. If you are unsure what to ask for, our staff can help you narrow or clarify your request.
Our Response & Timelines
- Acknowledgement within 5 business days. We will confirm we received your request and may ask clarifying questions if needed.
- Fulfillment within 10 business days after acknowledgement or we will provide a written explanation and a reasonable estimated completion date if more time is needed (for example, large volume, searches across multiple schools, legal review, or third‑party notice).
- Tracking & updates. If an estimate changes, we will keep you informed.
Fees
We may charge actual costs to process requests, as permitted by ORS 192. We do not charge for the first 30 minutes of staff time. If the estimated total is more than $25, we will provide a written estimate and ask you to confirm before we proceed.
| Service | Rate | Notes |
|---|---|---|
| Clerical / search & retrieval (after first 30 minutes) | $25.00 / hour | Locating, collecting, and preparing responsive records |
| Professional / program staff time | $40.00 / hour | When subject‑matter staff must review or compile records |
| Legal review / redaction | $75.00 / hour | Applied only when required to separate exempt material |
| Standard photocopies | $0.25 / page | Letter or legal size |
| Large‑format copies or scans | Actual vendor cost | We will pass through the actual cost |
| Electronic delivery | No charge | When delivered by email or secure download and staff time is under 30 minutes |
| USB drive / other media | Actual cost | If requested by the requester |
| Postage / shipping | Actual cost | For mailed records |
Fee waivers or reductions may be granted when making the records available primarily benefits the public, considering the requester’s ability to disseminate the information, the public interest in the subject, and the District’s cost to process the request. You may include a short statement explaining how disclosure serves the public interest.
Common Exemptions & Redactions
Some records (or portions of records) may be withheld or redacted under state or federal law. Common examples include:
- Student education records protected by FERPA.
- Personal information where disclosure would be an unreasonable invasion of privacy.
- Records relating to ongoing litigation, privileged communications, or security plans.
If we withhold or redact records, we will cite the specific legal authority for doing so.
Ways to Narrow a Request
- Limit by date range (for example, “January–March 2025”).
- Identify specific departments, schools, or staff likely to hold the records.
- Provide keywords that appear in the subject line or document text.
- Ask for samples or a representative subset instead of all records.
If You Believe Access Was Improperly Denied
Please contact the Public Records Officer first so we can review and attempt to resolve the issue. If we continue to withhold records, you may petition the Douglas County District Attorney for review under Oregon law.
